Block management software for UK managing agents

Letting is block management software for UK managing agents and residents' management companies. Each block holds its flats, each flat carries the service charges you bill, the communal areas carry their compliance dates, and freeholders and owners get clear reports on what came in and what was spent.

Blocks, flats and owners in one structure

A block is a property with many units, often with different owners and occupiers. Letting keeps the block, each flat, its leaseholder or owner, and any tenant in one tree, with contacts, documents and notes on each level. Leases, correspondence and certificates sit where you expect to find them.

  • Portfolio, block and flat structure
  • Owner and occupier contacts, documents and notes
  • Multiple offices or branches on the Portfolio plan

Service charges recorded per flat

Service charges and ground rent are recorded as charges on each flat's ledger. Import the bank CSV and payments are matched to the right ledger, part payments included. Arrears age at 1 to 30, 31 to 60 and 60+ days, and automated reminder emails go out on the dates you set. Letting records the charges and what has been paid; it does not prepare service charge budgets or year end accounts for you, and those stay with your accountant.

  • Charges per flat on one ledger
  • Bank CSV import matched to ledgers
  • Arrears ageing and automated reminders

Compliance dates for communal areas

Fire risk assessments, emergency lighting tests, communal electrical checks (EICR), insurance renewals and any licence renewals are recorded against the block with reminders to the responsible member of staff. One list shows everything due across all your blocks, so nothing lapses between site visits.

Communal repairs from report to invoice

Residents report a communal repair through a request link with photos. You set priority, assign a contractor and follow the status timeline. The cost is recorded against the block or the flat, and appears in the next report to the freeholder or owners. More on property maintenance software.

  • Contractor assignment and work order history
  • Periodic inspections of communal areas with photos
  • Costs recorded against the block or the flat

Reports to freeholders and owners

Each freeholder or owner receives a monthly statement showing charges received, fees, repairs and the net amount, as a PDF and a CSV, emailed on a set day. On Portfolio, scheduled report packs go out automatically. See property management accounting software.
