Tenants and units: one tree for the whole portfolio

Every property sits in a clear portfolio, property and unit tree, so a block of twelve flats and a single family house are organised the same way. Each unit carries its tenant, lease, rent, repairs, inspections and documents, and each tenant has a profile with contacts, files and notes your team can search in seconds.

Leases with dates that remind you

A lease records the term, rent amount, due day, deposit and any rent increase schedule. Letting watches the dates for you and sends renewal and expiry alerts before a tenancy runs out, so nobody finds out about an expired lease from the tenant.

  • Start and end dates, rent, due day and deposit per lease
  • Renewal and expiry alerts to the right team member

Rent collection tracking and bank reconciliation

Each month Letting builds a rent roll from your leases. Drop in your bank CSV export and payments are matched to tenant ledgers, including partial payments. Arrears are aged into 1 to 30, 31 to 60 and 60+ days, and reminder emails and late fee rules run on the schedule you choose. Letting tracks and reconciles rent. Tenants keep paying the way they do now.

Maintenance requests that reach a contractor

Tenants report a repair through a request link and attach photos. Your team sets the priority, assigns a contractor and follows a status timeline until the job is done. The cost is recorded against the unit and the owner, so it lands on the right statement at month end.

Inspections with dated photos

Run move-in, periodic and move-out inspections from templates, room by room, with photos and condition notes on a phone. Each inspection produces a signed PDF report, and the move-out comparison puts check-in and check-out side by side for deposit decisions.

Owner statements at month end

Letting produces a monthly statement for every owner: rent received, fees, repairs and net payout, as PDF and CSV, emailed on the day you set. Income and expense export goes to your accountant in a clean file.

Compliance dates that do not slip

Keep every certificate and renewal date on the unit it belongs to. In the UK that means gas safety, EICR and EPC. In both the US and the UK it covers smoke and CO checks, insurance and license renewals. Letting sends reminders ahead of each date, so a lapsed certificate is caught while there is still time to book it.

  • Gas safety, EICR and EPC for UK portfolios

Team and permissions

Give each person the access their job needs. Roles cover director, manager, accounts and maintenance, and an activity log records who changed what and when. Portfolio adds multiple offices or branches and a full audit log.

Enterprise controls for larger managers

Managers with more than 500 units get SSO with SAML, custom roles, API access and full data export, an uptime SLA, a security questionnaire and DPA, invoicing by bank transfer, a dedicated onboarding manager and data migration from your current system. See how we handle data on the letting security page.

See it working before you sign up
