Letting

Tenant management software with the whole tenancy on one screen

Letting is tenant management software for letting agents, property managers and landlords. Each tenant has a profile with contacts, documents and notes, linked to their unit, lease, rent ledger, repairs and inspections. When a tenant calls, anyone on your team opens one screen and sees the whole tenancy, instead of searching inboxes, folders and spreadsheets.

Tenant profiles with contacts, documents and notes

Every tenant record holds names, email addresses, phone numbers and emergency contacts, plus documents such as ID checks, references and the signed lease. Dated notes record calls, visits and agreements, so the next person on your team knows what was said.

  • Contacts and emergency contacts per tenant
  • Documents stored on the tenant and the unit
  • Dated notes visible to your team

Organised by portfolio, property and unit

Tenants sit inside a clear tree: portfolio, property, unit. A block of flats, a row of townhouses and a single family home all follow the same structure, and each property is linked to its owner. Import the tree and your tenants from a CSV file, or type them in.

  • Portfolio, property and unit tree
  • Owners linked to their properties
  • CSV import or manual entry

Rent ledger on every tenant

Each tenant has a ledger showing rent due, payments matched from your bank export, partial payments and arrears. Reminders and late fees appear on the same ledger with dates. Read more in rent collection software.

  • Rent due and payments received per month
  • Arrears aged 1 to 30, 31 to 60 and 60+ days
  • Reminders and late fees logged with dates

Repairs, inspections and lease history in one place

  • Maintenance requests with photos and timelines
  • Signed inspection reports from move-in to move-out
  • Lease terms, renewals and rent increases

Tenants use the tenant portal and request links to report repairs with photos and reach your team, so requests arrive against the right unit. On the Agency plan and above, Letting emails tenants rent reminders on your schedule, branded with your agency name.

  • Automated rent reminder emails on Agency and above
  • Branded tenant emails on Agency and above

The right access for each role

Roles for director, manager, accounts and maintenance decide who can see tenant documents, edit ledgers or assign repairs. The activity log records every change to a tenant record. Enterprise adds custom roles and SSO.

From move-in to move-out without loose ends

A tenancy has a clear start and end in Letting. At move-in you add the tenant, the lease and the deposit, and run the move-in inspection with photos. During the tenancy the ledger, repairs and periodic inspections build up on the same record. At move-out the comparison with the move-in report supports your deposit decision, and the unit is ready for the next tenant with its history intact.

  • Move-in: tenant, lease, deposit and inspection
  • During the tenancy: ledger, repairs and periodic checks
  • Move-out: comparison report and a clean handover
