Commercial leases with dates you cannot miss

Commercial leases run longer and carry more dates than a residential tenancy. Each lease in Letting stores the term, the rent and its due day, the deposit and a rent increase schedule, so reviews and uplifts are scheduled rather than remembered. Renewal and expiry alerts give your team time to negotiate before a lease ends. More on lease management software.

  • Term, rent, due day and deposit per lease
  • Rent increase schedule for reviews and uplifts
  • Renewal and expiry alerts

Service charges recorded as charges on the unit

Service charges, insurance recharges and other amounts you bill a commercial tenant are recorded as charges on the unit and its tenant ledger, next to the rent. When payments arrive, the bank CSV import matches them to the ledger, so you see what each tenant owes and what has been paid. Letting records these charges and reports them on statements; it does not calculate year end reconciliations of shared costs for you.

  • Rent and other charges on one tenant ledger
  • Bank CSV import matched to ledgers, partial payments included
  • Arrears ageing at 1 to 30, 31 to 60 and 60+ days

Repairs and costs against the right unit and owner

Tenants report issues through a request link with photos. You set priority, assign a contractor and follow the status timeline. Every cost is recorded against the unit and the owner, which keeps statements accurate when one building has several owners or investors. See property maintenance software.

Compliance dates for commercial buildings

Insurance renewals, licence renewals, EPC dates in the UK and alarm checks sit on the property with reminders, so certificates do not lapse between tenants.

Each certificate or renewal date is assigned to a member of staff, and one list shows everything due across all your buildings in the next 30, 60 or 90 days.

Owner statements for commercial owners

Each owner receives a monthly statement with rent and charges received, fees, repairs and net payout, as PDF and CSV, emailed on a set day. On the Portfolio plan, scheduled report packs go to owners automatically. Read more on property management accounting software.
