Rent Manager is cheaper on its entry plans under about 250 units, because its reported minimums are $50 lower. Propertyware publishes its rates on propertyware.com/pricing, checked October 2026: Basic $1.00 per unit with a $250 minimum, Plus $1.50 with $350, Premium $2.00 with $450, with billable units adjusted in 50 unit steps. Rent Manager shows Basic, Plus and Premium bundles but quotes every buyer. Its rates below are publicly reported figures: Basic $1.00 with a $200 minimum, Plus $1.50 with $300, Premium $2.25 with $450.

Monthly subscription before payment, screening and add on fees. Rent Manager figures are reported, not published, and at least one review site lists a $350 Plus minimum.

Two details move real quotes away from the table. Propertyware bills units in 50 unit steps, so a 260 unit company may be billed as 300, which costs $300 on Basic instead of $260 on Rent Manager. And under 200 units both vendors charge the floor, so a 60 unit manager pays $3.33 to $4.17 per door on the entry plans and $7.50 on Premium.

First year cost with implementation

Both vendors charge to get you started. Propertyware publishes implementation as twice the monthly subscription. Rent Manager's implementation is reported at about the same multiple and set in the quote.

In the second year the implementation drops out and both bills return to the monthly figures above, so a 100 unit Basic customer pays about $2,400 on Rent Manager and $3,000 on Propertyware every year after.

Fees outside the subscription

The subscription is rarely the whole bill. Propertyware lists screening and payment transaction fees as separate and does not publish them on its pricing page, and it offers an Enterprise and API option at an extra $1 per unit per month on any plan. Rent Manager sells payments, screening, websites and many integrations through its own add ons and partner marketplace, each priced in the quote.

  • Online rent payments: per transaction on both, set by the payment provider and your plan
  • Tenant screening: per report, usually charged to the applicant
  • API access: Propertyware adds $1 per unit; Rent Manager prices its API and integrations by quote
  • Training and premium support: included on higher plans, extra on lower ones

If your tenants already pay by ACH into your own bank account, most of these fees buy you nothing. That is the gap a flat priced tool covers: Letting reads the bank export instead of processing the payment, so there is no fee per rent payment at any size.

How the two products differ

Rent Manager is built by London Computer Systems in Ohio and sold as one deep system for residential, commercial, association and mixed portfolios. Managers pick it for custom reports, job costing, service manager workflows and the ability to run commercial leases and HOAs in the same ledger. That depth takes time to learn, and the implementation fee pays for it.

Propertyware is owned by RealPage and built for single family and scattered site portfolios. Its strength is customization: custom fields, workflows and owner portals shaped around houses spread across many neighborhoods and many owners. Users often describe the learning curve as steep, and the 50 unit billing steps and $250 floor make it expensive for smaller managers.

For a manager choosing between the two, the honest test is the portfolio. Mostly houses for many owners points to Propertyware. Apartments plus a few commercial units or associations point to Rent Manager.

Small managers under 200 units

Under 200 units neither vendor charges the per unit rate. You pay the minimum, $200 to $450 a month on Rent Manager and $250 to $450 on Propertyware, plus implementation. A 40 home single family manager on Propertyware Basic pays $250 a month, which is $6.25 per house, and about $3,500 in year one. Large managers at 500 to 1,000 units

At this size the per unit rate takes over and the two converge on Basic and Plus. A 1,000 unit company pays about $1,000 a month on either Basic plan and $1,500 on either Plus plan, plus about two months of subscription in implementation. When neither Rent Manager nor Propertyware fits

Both are serious systems with serious onboarding. Skip both if you manage fewer than 50 units, if you do not need commercial or association accounting, or if your tenants already pay into your bank account and you do not want a payment processor in between. In those cases you pay for depth you will not use.

Switching from Rent Manager or Propertyware

Both systems export units, tenants, leases, owners and balances to CSV or Excel. Export the lists, import them into Letting office by office, set opening balances for anyone in arrears, and import one month of bank transactions to check that every payment matches.
